Organize the cisterns you manage, invite the people who need access, and decide exactly what each person can see and do — from view-only stakeholders to hands-on staff.
Organizations & properties
Your account is built around an organization — your management company. Under it you can add a property for each building, site, or portfolio you look after.
Organization
Your top-level account. People and roles live here, and everything you manage rolls up under it.
Properties (sub-organizations)
Group cisterns by site so a site manager sees only their building. Add a property under your organization from Account → Organization, then invite people to just that property.
Roles at a glance
Everyone you add gets one of three roles. Give the least access that does the job.
You — the property manager
The account holder. Full control over the organization: invite and remove people, assign roles, and manage every cistern. Each organization has exactly one Owner.
Your team & on-site crew
Day-to-day operators. They can see every cistern in the organization, respond to alerts, and adjust device settings and thresholds — but can’t invite people, change roles, or transfer ownership.
Owners, tenants, stakeholders
View-only access. They can see levels, history, and alerts across the organization, and change nothing. A Client who also owns a specific cistern still has full control of that one device.

Invite someone to your organization

Open your team
Go to Account → Organization to see your members and any pending invitations.

Invite by email
Under “Invite someone,” enter the email of a person who already has a CMS account, and pick a role.

Send the invitation
They get an email and see the invitation in their own Account → Organization. They join once they Accept — nothing changes until then.

No account yet?
If the email isn’t registered you’ll see “user account does not exist in CMS.” Have them create a free CMS account first, then invite them again.
Clients are unlimited. On a free organization you can add up to 2 staff — when you hit the limit the dashboard shows an upgrade prompt, and managed service removes the cap. Staff you already have are never affected.
Someone asking to join your group
People can also come to you: instead of waiting for an invitation, a customer can request to join your group by entering your email. You stay in control — a request does nothing until you approve it.

Open Account → Organization
If you’re not in a group yet, you’ll see a “Join a group” card.

Enter your manager’s email
Type the email of the property manager whose group you want to join, and send the request.

The manager approves
Your request appears on their Organization page. Once they approve it, you join as a Client — nothing happens until then, and you can cancel a pending request any time.

Your cisterns come with you
Any devices you own are linked to the group automatically so your manager can monitor them. Leave the group later and those cisterns come right back to you.
Managers: pending requests appear on your Account → Organization page. Approve to add the person as a Client (their cisterns link to your group automatically), or Decline.
Accepting, changing & leaving
Accepting an invitation
Invited people open Account → Organization and see the invitation at the top. Accept joins the organization with the role you chose; Decline dismisses it. You can Cancel a pending invitation before they respond.
Change a role
Open the person in your member list and pick a new role. Promote a Client to Staff, or hand day-to-day control to a trusted teammate — changes apply right away.
Remove someone
Open the person and choose Remove; their access ends immediately. By default their own cisterns leave the group with them and become standalone again — or choose keep cisterns in the group to hold onto them. Your other devices and history are untouched.
Leaving an organization
Any Staff or Client can leave from Account → Organization. By default the cisterns you own leave the group with you — becoming standalone, or moving with you into a new group; you can instead leave them behind for the manager. This can’t be undone from the manager’s side, so the dashboard confirms first. The single Owner transfers ownership to another member (which makes you Staff), then can leave.
Questions
- Does the person I invite have to accept?
- Yes. Inviting creates a pending invitation and emails them — they only become a member after they Accept from their own Account → Organization. You can cancel a pending invitation any time before then.
- What if they don’t have a CMS account yet?
- You can only invite existing CMS users, so you’ll see “user account does not exist in CMS.” Ask them to create a free account (app or web), then send the invitation again.
- Can someone join my group without me inviting them?
- Yes. From Account → Organization, anyone can enter your email under “Join a group” to request access. The request appears on your Organization page — nothing happens until you Approve it. Approving adds them as a Client and links their own cisterns to your group so you can monitor them.
- How many people can I add?
- Clients are unlimited on every plan. A free organization can have up to 2 Staff; if you already have more, none are ever removed — the limit only blocks adding new staff beyond it. Need more staff seats? Switch to managed service and the staff cap is lifted.
- Can someone leave my organization?
- Yes. Any Staff or Client can remove themselves from Account → Organization at any time. The single Owner can’t leave outright — transfer ownership to another member first, which makes you Staff.
- If a member leaves or I remove them, what happens to their cisterns?
- By default a departing member’s own cisterns leave the group with them and become standalone again — so if a client leaves, you stop seeing their devices (they can carry them into another group). When you remove someone you can instead choose to keep their cisterns in the group. Everything else — your other devices, history, and alerts — is untouched, and the person’s own account is unaffected. This can’t be undone from your side, so the dashboard confirms first.
- Can I upgrade a Client to Staff later?
- Yes. Open the person in your member list and change their role at any time. The change takes effect immediately (subject to the staff limit on a free organization).
- Who should be the Owner?
- Each organization has one Owner — usually the head property manager. If responsibilities change you can transfer ownership to another member, and the previous Owner becomes Staff.
- Do the people I add need the app?
- They can use either the mobile app or the web dashboard with the same login. Clients often prefer the app for quick checks; Staff tend to use the web dashboard for day-to-day work.
